The Problems

Payroll Management

Inaccessibility to digital payslips complicated payroll management processes, causing frustration among employees and HR staff alike.

Leave Balance Inquiries

Employees had to repeatedly contact HR for leave balance updates, creating inefficiencies for both employees and HR.

Timesheet Inaccuracies

Manual timesheet submissions caused errors in project tracking and monthly records, impacting the accuracy of employee work hours and project budgets.

My Design Process

Design Solutions & Features

We opted for a custom design approach to ensure the HRMS app perfectly aligned with the identified user needs and addressed the specific pain points of the target audience. This approach allowed us to tailor the interface, functionalities, and information architecture to optimize user experience and workflow efficiency.

Key Features

Employee Time and Task Tracker:

Punch In/Out & Breaks: Easy clock-in/out with break start/end options for flexible work schedules.

Total Desk Time: Tracks total work duration spent actively logged into the app.

Weekly Attendance: View a calendar with daily clock-in/out times and total work duration for each workday.

Task Management: See assigned tasks, categorize by project, track progress, and log time spent.

Effortless Leave Management:

Leave Balances Made Easy: Employees can see remaining leave days for each type (vacation, sick leave, etc.) at a glance.
Leave History in One Place: Track all leave requests - approved, pending, and rejected - in a dedicated section for clear visibility.
Streamlined Leave Applications: A user-friendly form allows employees to easily request leave, select types, specify dates, and leave reason description

Know Your Company:

Core Values - Employees can easily access the company's guiding principles.

Categorized Policy List: The app organizes company policies into clear categories like core policies, work-life balance policies, and employee conduct guidelines, making it easy to find relevant information.

Event Carousel: A dynamic carousel displays upcoming events, showcasing key details like title, time, and host name at a glance. This provides a quick and visually appealing way for employees to stay in the loop about important gatherings and meetings.

Clear Payroll Details

CTC Breakdown: See a clear breakdown of your salary, allowances, and deductions.

Payslip Archive: View and sort past payslips by year for easy access.

Design Challenges and Solutions

Prioritization and Chunking

We simplified by first figuring out which features users use the most on each page. Then, we broke down the information into smaller, manageable pieces using chunking so that users aren't overwhelmed when they see it.

Whitespace Optimization

Balancing white space and information density strategically enhanced visual hierarchy and readability, preventing clutter while also avoiding confusion from excessive emptiness.

Leveraging Accordions and Tabs

Accordions and tabs were implemented to reduce scrolling and improve organization. Users could expand or collapse sections and switch between views, ensuring easy access to relevant information.

The Outcome

Efficient Leave Management

Employees no need to connect with mangement regarding leave balance as all info is available in leave page and employee can easily apply for leaves and check status of leave applications anytime and also hr no need to track record of leaves for each employee as they has access to info of leaves of all employees

Improved Attendance Management

Employees no need to worry about time spent on each working day as i added sections related to time spent on each working day and that also helps mangers to track employee activity

Easy Access to Payroll Information

Payroll page has all the info related payment breakdown so employee no need to ask mangers about their payroll info,also employee can view and download payslips of any working month
